This policy explains what information My Service Depot LLC ("we," "us," "Smart Service") collects when you visit smartservice.com, use our mobile apps, or contact us, and what we do with it.

Information You Give Us

When you fill out a form on our site (demo request, contact, support, referral), start a chat, or sign up for emails, we collect what you enter: typically your name, company, email address, phone number, industry, and your message. We use it to respond to you, schedule demos, provide support, and send you information about our products. We may contact you by email, phone, or text message. Text messaging has its own terms at smartservice.com/sms-terms. You can unsubscribe from marketing email at any time using the link in the email or by writing to [email protected].

Form submissions are processed by a third-party form-handling service and protected by Cloudflare's bot-detection check.

Information Collected Automatically On Our Website

Like most websites, our server logs record your IP address, browser type, the page that referred you, and the time of your visit.

We also use the following third-party tools on smartservice.com. Each one receives some information about your visit, such as your IP address, the pages you view, your device and browser type, and in some cases a cookie that recognizes your browser on return visits.

Google Analytics and Google Tag Manager (Google LLC) — tells us how many people visit, which pages they view, and where visitors come from. We use this to understand how the site is used and to measure marketing campaigns.

Microsoft Clarity (Microsoft Corporation) — records how visitors move around our pages (scrolling, clicking, page layout problems) so we can find and fix usability issues. Meta Pixel (Meta Platforms, Inc.) — lets us measure whether our Facebook and Instagram ads lead to visits and demo requests, and lets us show ads on Meta's platforms to people who have visited our site. Meta's data policy: https://www.facebook.com/privacy/policy

Smart Service Assistant (our chat window) — built and run by us, hosted on Cloudflare. Once the chat window loads, it records the pages you visit on our site, your approximate location (city and state, from your IP address), and your device and browser type, so our team can see who is on the site and step in to help. Anything you type in the chat is stored on our Cloudflare account, and your questions are sent to Anthropic, PBC (the maker of the Claude AI model) to generate answers. Anthropic does not use them to train its models. A member of our team may read your chat and join the conversation. The chat does not ask for your name or contact details. The chat window does not load until you scroll, tap, or click on a page, or after about 20 seconds.

Cloudflare (Cloudflare, Inc.) — delivers the site, protects it from attacks, screens forms for bots, and provides basic cookie-free traffic statistics.

JW Player (JW Player, LLC) — plays the videos on our site and reports basic playback statistics to us.

These companies act as our service providers. We do not sell your personal information, and we do not rent or lease visitor lists to anyone. The Meta Pixel is used for advertising measurement and for showing our ads to past visitors, which some state laws treat as "sharing" personal information; see Your Choices below.

Cookies

Cookies are small files your browser stores. We use them to remember preferences, to recognize returning visitors, and for the analytics and advertising tools listed above. You can block or delete cookies in your browser settings. Doing so may stop some parts of the site from working.

Microsoft Clarity: opt out at https://optout.aboutads.info. Clarity also honors the Global Privacy Control browser signal.

Meta Pixel / advertising: adjust your ad preferences in your Facebook or Instagram account settings, or opt out at https://optout.aboutads.info

Chat: once the chat window loads it records which pages you visit, the same way our analytics tools do. Do not type in the chat if you prefer not to have your questions stored with us and processed by Anthropic.

Residents of California and certain other U.S. states have the right to know what personal information we collect, to request a copy or deletion of it, and to opt out of the sale or sharing of personal information for targeted advertising. Residents of Canada have similar rights under PIPEDA and provincial privacy laws. To exercise any of these rights, write to [email protected] with "Privacy request" in the subject line. We will verify your request and respond within the time the applicable law allows. We will not treat you differently for exercising these rights.

Data Collection and Usage

Our company's policy is to collect and store as little user information as possible to allow for the effective use of our products.

Some of our company's products can access data in Google accounts. Any data that is collected as a result of an authorized request to connect a Google account to our application is obtained solely through using Google API services, and only enough data is collected and stored to allow for the effective use of our application's feature that your Google data is designed to enhance. If you are using the Smart Service Google Calendar Integration module, we will access the appointment dates, times, and descriptions on your Google calendar so that the data can be displayed and manipulated by Smart Service. If you are sending email with a Gmail account, we will send email on your behalf and nothing more. Smart Service's use and transfer to any other app of information received from Google APIs will adhere to Google API Services User Data Policy, including the Limited Use requirements.

Data obtained through Google APIs is not shared with anyone and is not used for advertising.

Mobile Application Analytics and Crash Reporting

We use third-party services to help us operate, analyze, and improve the performance and stability of our mobile applications.

Firebase Crashlytics

Our mobile application uses Firebase Crashlytics, a crash reporting service provided by Google LLC. Crashlytics collects information related to app crashes and errors, which may include device information (such as device model, operating system version, and app version), timestamps, and diagnostic data needed to identify and fix technical issues and improve app stability. Crash reports may include identifiers associated with the app installation and are transmitted to Google for processing.

Firebase Analytics

We also use Firebase Analytics, an analytics service provided by Google LLC, to understand how users interact with our mobile application. Firebase Analytics collects usage data such as app interactions, session duration, feature usage, device information, and approximate location (for example, city/region) inferred from device or network signals. This information helps us improve app functionality and user experience. Firebase Analytics assigns a unique, anonymized identifier to each app installation and may use device identifiers and similar technologies.

Data Use and Sharing

The information collected through Firebase Crashlytics and Firebase Analytics is used solely for application performance monitoring, analytics, and improvement purposes. This data is shared with Google LLC as a service provider in accordance with Google's privacy policies and data processing terms.

How Long We Keep Information

We keep form submissions for as long as we need them to respond to you and manage our relationship with you. Chat transcripts and the page-visit records collected by the chat window are deleted after 6 months. Analytics and session-replay data is kept for the retention period configured in each tool, after which it is deleted or aggregated. Server logs are kept for a limited period for security purposes.

Security

We use reasonable technical and organizational measures to protect your information. No method of transmission or storage is completely secure.

Children

Our website and products are intended for businesses and are not directed to children under 13. We do not knowingly collect information from children.

Changes to This Policy

We may update this policy. The date at the top shows when it last changed. Significant changes will be noted on this page.
